A&S Computer Replacement Process

Effective immediately, the following process for computer replacement will be followed:

  • eTech will order the replacement computers and arrange for their transport to the Office of Information Technology (OIT).
  • OIT will set up faculty and staff replacement computers as much as possible prior to installation.
    • When faculty and staff are notified that their new computers are ready, they will be asked to move ALL UA and personal files to the cloud or external backup by a specified date. You can view or download instructions for this process on these pages:
    • They will also be asked to save their browser bookmarks for later installation. (Instructions for this are provided on Setting up Your New Mac and Setting up Your New Windows Computer.)
    • The faculty/staff member will handle all data transfers unless prior arrangement has made through eTech and OIT.
    • At the appointed deadline, OIT will contact the individual to schedule an appointment for replacement and will confirm with the individual that their files are moved to the cloud or an external backup. The setup will not continue until the individual has confirmed all files have been transferred to the cloud or an external storage device, since no files will be moved while the technician is present.
    • The individual will affix notes to the old equipment (computer and monitor), indicating what items the IT technician will remove. Download and use the equipment label template.
    • The OIT field tech will arrive at the scheduled time to install the new computer.
      • If the office is locked, the tech will go to the department main office to access the room.
    • The field tech will install the computer and remove the marked old computer before they leave.
    • Old computers will be temporarily stored at OIT’s facility.
  • When closing the installation ticket, OIT will add Alma Fuller to receive a notification, as she needs to monitor installation progress.
  • eTech will schedule routine visits to OIT to deliver new computers for installation and to pick up the old computers for repurposing/surplus.
  • After the computer has been delivered, faculty will be able to download many of the optional software programs through self-service (Office, Adobe, etc.) and retrieve files and bookmarks from their stored locations. NOTE: OIT can only install UA-supported software. Independently purchase/licensed software will need to be installed by the user and supported by the vendor.
  • OIT will follow up with the faculty/staff member to assist with any remaining installations.
    • Remote support will be provided, when needed.
    • Check to ensure files were all transferred to the new computer.
    • After it is verified that the computer is working as expected, OIT will close the service ticket.
  • eTech will keep computers for up to two weeks before wiping to ensure that the new faculty/staff computer is working smoothly and that nothing has been missed.
    • If the computer is needed before the two-week deadline, eTech will work with the individual and OIT to resolve the issue.
    • After the deadline, the computer will be wiped and repurposed or properly disposed.
